1. Our data commitments
- Collect data for a defined hiring, customer, security, or communication purpose.
- Keep candidate-facing pages separate from advertising pixels.
- Limit access to authorized people and approved service providers.
- Keep humans responsible for hiring decisions and allow edge cases to be reviewed.
- Support access, correction, deletion, and other valid requests through the responsible employer.
- Remove or de-identify data when it is no longer required under the approved retention schedule.
2. Who controls candidate data
The organization inviting a candidate to apply or interview normally determines the purpose of the hiring process, the criteria used, the people with access, and the retention period. Xarlon processes candidate data to provide the configured service and support that organization. Contract terms and applicable law determine the exact legal roles.
Questions about a specific application should be sent first to the employer or agency named in the invitation. Xarlon will support verified instructions from that organization.

4. Human responsibility in hiring
Xarlon supports structured candidate review and hiring workflows. Authorized people at the employer or agency decide who progresses and make every final employment decision. Customers are responsible for reviewing outputs, handling accommodations, and correcting inappropriate criteria or data.
5. Interview notice and choice
When a technology-supported interview is used, candidates should receive notice of the format, the information that may be collected, and how it will be used before participation. Candidates should use the employer contact in their invitation to ask about accommodations or an alternative process. Recording must not begin until the required notice and permission have been provided.
6. Retention and deletion
Candidate data is retained according to the schedule approved by the customer running that hiring process — that customer sets the period, not Xarlon. Details sent through a website form (demo, pilot, or pricing) are kept for up to 24 months from our last contact with you, and are then deleted. A deleted record can remain in routine backups for a short period before those backups age out.
7. Service providers
Xarlon uses a small number of vetted providers for hosting, storage, email delivery, bot protection, and — where an AI-supported interview is used — the interview technology. Each is bound by contract, is given only the access its role requires, and may not use the data for its own purposes. A current list is available to customers on request.
Data may be processed in the locations where Xarlon and these providers operate. Where it crosses a border, we and our customers use the safeguards the applicable jurisdiction requires.

8. Questions and data requests
Depending on applicable law, a person may be able to request access, correction, deletion, restriction, objection, portability, withdrawal of consent, or human review. For a job application, use the employer contact in the application or interview invitation.
